I'm a new Clew…

I'm a new Clew student

Clew is where you self-assess your clinical and simulation work, see your grades and faculty feedback, track your CAPs and clinical requirements, and follow your own progress across every competency.

Your first steps

  1. 1
    Open your dashboard

My dashboard shows CAPs passed, your patient and simulation experience counts, progress on each CAP, your clinical requirements, your entrustment ratings and progress by program competency.

    My dashboard →
  2. 2
Start a self-assessment after each encounter

Choose the rubric (grade sheet). For clinic rubrics, record the procedure you performed — the requirement it counts toward, CDT code, tooth and surfaces — and pick your supervising faculty member. Add a second grader only when two faculty must grade.

    Start a self-assessment →
  3. 3
Rate yourself, then route it to faculty

Rate every criterion honestly and add a short reflection. Some rubrics end with a 1–5 entrustment rating — how much your faculty member needed to do. Save a draft, or press Submit to faculty when you're done.

  4. 4
    Read your result

When faculty grade it, the evaluation shows their rating beside yours for each criterion, your score, pass/fail and feedback. If they return it to you, fix what they ask and resubmit.

    Evaluations →
  5. 5
    Follow your thread

My thread lets you pick any competency or standard and see everywhere it shows up for you: courses, exam items, simulation, patient care and CAPs.

Things you'll do often

Check progress toward a CAP

Each CAP (Clinical Assessment of Proficiency) needs a set number of qualifying patient experiences on its rubric before you can challenge it. Your dashboard shows how many you have and when you're ready. To challenge, start a self-assessment on the CAP rubric and choose “CAP attempt”.

My dashboard →
Track clinical requirements

My procedures shows every requirement (e.g. posterior direct restorations, extractions) with counted units and work awaiting a grade. A procedure counts once faculty grade the evaluation it was recorded on.

My procedures →
Blinded practical exams

Simulation practical exams may be graded by two faculty who see only an anonymous candidate code. You won't see who graded you; your result appears once both have graded.

Good to know

  • Never enter patient names or other PHI — use the clinic's de-identified encounter number.
  • Clew works on your phone: add it to your home screen and self-assess chairside.
  • If you launch Clew from Canvas, you're signed in automatically with your school email.

Common questions

How do I start a self-assessment?

Go to Start a self-assessment, choose the rubric, the procedure (for clinic rubrics) and your supervising faculty, then press Continue. Rate yourself on every criterion and press Submit to faculty.

Where are my grades and feedback?

Open Evaluations and choose a graded evaluation. Faculty ratings are shown beside your self-ratings, with your score, pass/fail and feedback. Your dashboard lists recent evaluations too.

When can I challenge a CAP?

When you have the CAP's required number of qualifying patient experiences on its rubric (some CAPs also need those experiences to pass). Your dashboard shows each CAP as ready to challenge; then start a self-assessment on the CAP rubric and choose “CAP attempt”.

Why doesn't my procedure count yet?

A procedure counts toward its requirement once faculty grade the evaluation it was recorded on. Until then it shows as awaiting a grade in My procedures. Faculty can also mark it as not counting if it wasn't completed as recorded.

How do I add a second grader?

When starting a clinic self-assessment, choose a Second grader (optional). Both grade independently and your score is their average.

Can I open Clew from Canvas?

Yes, once an administrator registers Canvas on the Canvas LMS page. Clew then appears in Canvas's course, account and user navigation and signs you in with your school email.

How do I get a copy of my records?

On your dashboard, choose Download my records. You get one file with your evaluations (every rating and comment), exam results, procedures and calibration.

Why was I signed out?

For privacy, Clew signs you out after 30 minutes without activity and 12 hours after you sign in. Sign in again with your school account.

Is patient information stored?

Clew is designed not to hold PHI: use the clinic's de-identified encounter number for patient references, never names or other identifiers.

Words you'll see in Clew

Thread
Everywhere a standard or competency shows up across the program — courses and hours, exam items, simulation, patient care, CAPs and clinical procedures.
Tag
A standard, competency, EPA or keyword that courses, exam items, rubric criteria and procedures are linked to, so their evidence threads together.
Framework
A set of tags: CODA standards, ADEA competencies, the program's own competencies or EPAs, or a keyword list.
Rubric
A grade sheet: performance levels, weighted criteria and a pass threshold. Used for simulation and clinic evaluations, practical exams and CAPs.
Self-assessment
The student's own ratings on the rubric, routed to faculty, who grade beside them.
CAP
Clinical Assessment of Proficiency — a high-stakes clinical assessment on a CAP rubric, challenged after the required number of qualifying patient experiences.
Critical error
A rubric level for unsafe or irreversible errors. By default any critical error fails the evaluation; a rubric can be set to record it without failing.
Entrustment rating
An optional 1–5 rating at the end of clinic rubrics (Ottawa / O-SCORE): 1 “I had to do it” to 5 “I didn't need to be there”. Reported separately from the score.
Calibration (test teeth)
Faculty grade typodont test teeth against a reference grade before grading students on rubrics that require it; it's renewed every six months by default.
Dual / blinded grading
Two faculty grade independently. On blinded simulation practicals, students label their typodont box with a candidate code; graders take a box by its code (or draw one at random) and see only the code.
Calibration limit
How far apart two graders' scores can be (10 points by default) before both regrade or the result is flagged.
Clinical requirement
A procedure students must complete a set number of (teeth, quadrants, arches…). Recorded with the self-assessment, counted when faculty grade it.
Emphasis (I/R/M)
How a course treats a tag: Introduced, Reinforced or Mastered.
EPA
Entrustable Professional Activity — an alternative to competency statements as a program's outcomes.
