Learn Clew
I'm a new Clew…
I'm a new Clew administrator or dean
Clew gives deans and associate deans the whole program in one place: curriculum coverage, assessment and clinical outcomes, CAP pass rates, faculty calibration, entrustment, clinical requirements and the CODA self-study.
Your first steps
- 1Read the Overview
Coverage of each framework, unmapped standards, grading backlog, CAP first-time pass rate, faculty calibration (inter-rater κ), clinical procedures and entrustment.
Overview → - 2Set your curriculum model and permissions
In Settings choose competency statements or EPAs as your program outcomes, set calibration rules (validity months, pass rate, block or warn), and grant permissions to each group — or to individuals, such as an accreditation lead.
Settings & permissions → - 3Follow a standard end to end
The Thread explorer shows one standard or competency across didactic hours, exam items, simulation, patient care, CAPs and clinical procedures, with a per-student roll-up and CSV export.
Thread explorer → - 4Draft the CODA self-study
For each CODA standard, Clew assembles the evidence (map, assessment, outcomes by cohort, CAPs, procedures), drafts narrative you edit, and exports to Word or PDF with charts and appendices.
CODA self-study →
Things you'll do often
See which graders are calibrated on test teeth, inter-rater reliability between paired graders, grader bias, and flagged evaluations to review.
Faculty calibration →The CAP matrix for any cohort or clinic group, and each student's full dashboard.
Students & CAPs →Who's on track to graduate, a students × requirements matrix, grading turnaround, average rubric score and entrustment for any cohort.
Clinical procedures →Register Canvas (LTI 1.3) so Clew opens from Canvas with single sign-on, sync Canvas grades in, and send rubric scores to the Canvas gradebook.
Canvas LMS →Good to know
- Administrators always keep settings access, so a program can't lock itself out.
- Administrators can see identities on blinded exams only with the calibration-view permission.
Common questions
What happens when two graders disagree?
If the scores are further apart than the rubric's calibration limit (10 points by default) or disagree on a critical error, both graders regrade once; if they're still apart the evaluation is flagged for review in Faculty calibration.
How do I send a score to the Canvas gradebook?
If the rubric sends scores to Canvas, leave “Send this score to the Canvas gradebook” ticked when grading. After grading, the evaluation's Canvas gradebook box shows whether it arrived, with Send or Retry. Rubric owners turn this on in the rubric builder; the course must be linked on the Canvas LMS page.
How do I build a rubric or CAP?
Open Rubrics and create a rubric. Set levels (marking critical-error levels), weighted criteria with tags, the pass threshold, and options: CAP with required experiences, blinded dual grading, calibration limit, entrustment rating and Canvas gradebook.
How do I add or tag courses?
In Courses, upload a CSV or add a course, then tag it with standards and competencies, emphasis (I/R/M) and hours. Itemised sessions give exact hours.
How do I import ExamSoft results?
In Exams & ExamSoft, upload an ExamSoft export (one row per student per item, with categories) or set up the API sync. Map any categories that don't match a tag.
How do I find gaps in the curriculum?
Open the Curriculum map, choose a framework and tick “Show gaps only”. The Overview also lists unmapped standards per framework.
How do I change who can do what?
Administrators set permissions per group, and extra grants for individuals, in Settings & permissions.
How do I prepare the CODA self-study?
Open CODA self-study, choose a standard, review the assembled evidence, draft and edit the narrative, and export to Word or PDF.
Can I open Clew from Canvas?
Yes, once an administrator registers Canvas on the Canvas LMS page. Clew then appears in Canvas's course, account and user navigation and signs you in with your school email.
Who has looked at a student's records?
Administrators open Settings → Audit log and choose the student under “Whose record”, or open the student under People and choose Access history. Sign-ins, views, grades, permission changes and downloads are all recorded.
Someone left the program. What do I do?
Open People, click their name and choose Turn off sign-in. They can no longer sign in, and their records stay. Deleting a student permanently is on the same page, for records-retention requests only.
Why was I signed out?
For privacy, Clew signs you out after 30 minutes without activity and 12 hours after you sign in. Sign in again with your school account.
Is patient information stored?
Clew is designed not to hold PHI: use the clinic's de-identified encounter number for patient references, never names or other identifiers.
Words you'll see in Clew
- Thread
- Everywhere a standard or competency shows up across the program — courses and hours, exam items, simulation, patient care, CAPs and clinical procedures.
- Tag
- A standard, competency, EPA or keyword that courses, exam items, rubric criteria and procedures are linked to, so their evidence threads together.
- Framework
- A set of tags: CODA standards, ADEA competencies, the program's own competencies or EPAs, or a keyword list.
- Rubric
- A grade sheet: performance levels, weighted criteria and a pass threshold. Used for simulation and clinic evaluations, practical exams and CAPs.
- Self-assessment
- The student's own ratings on the rubric, routed to faculty, who grade beside them.
- CAP
- Clinical Assessment of Proficiency — a high-stakes clinical assessment on a CAP rubric, challenged after the required number of qualifying patient experiences.
- Critical error
- A rubric level for unsafe or irreversible errors. By default any critical error fails the evaluation; a rubric can be set to record it without failing.
- Entrustment rating
- An optional 1–5 rating at the end of clinic rubrics (Ottawa / O-SCORE): 1 “I had to do it” to 5 “I didn't need to be there”. Reported separately from the score.
- Calibration (test teeth)
- Faculty grade typodont test teeth against a reference grade before grading students on rubrics that require it; it's renewed every six months by default.
- Dual / blinded grading
- Two faculty grade independently. On blinded simulation practicals, students label their typodont box with a candidate code; graders take a box by its code (or draw one at random) and see only the code.
- Calibration limit
- How far apart two graders' scores can be (10 points by default) before both regrade or the result is flagged.
- Clinical requirement
- A procedure students must complete a set number of (teeth, quadrants, arches…). Recorded with the self-assessment, counted when faculty grade it.
- Emphasis (I/R/M)
- How a course treats a tag: Introduced, Reinforced or Mastered.
- EPA
- Entrustable Professional Activity — an alternative to competency statements as a program's outcomes.
