Learn Clew
I'm a new Clew…
I'm a new Clew faculty member
Clew is where you grade student self-assessments and practical exams, start evaluations at the chair, keep your test-tooth calibration current, and watch your clinic group's progress toward CAPs and clinical requirements.
Your first steps
- 1Open your faculty portal
The portal shows what's waiting for your grade (CAP attempts first), your calibration status, the blinded practical queue, your clinic group's CAP readiness, clinical requirements and entrustment.
Faculty portal → - 2Calibrate on test teeth
Rubrics that require calibration only let you grade once you've passed test-tooth calibration on them (and again every six months, by default). Grade the test teeth as you would a student; you'll see the reference grading afterward.
My calibration → - 3Grade a routed evaluation
Open an item in your grading queue. You'll see the student's self-rating marked on each criterion. Rate every criterion, give feedback, choose the entrustment rating if the rubric has one, and confirm the procedure counts toward the student's requirement. Submit grade — or Return to student if it needs changes.
Grading queue → - 4Grade at the chair
Start an evaluation yourself, choose the student, the rubric and the procedure, and it goes straight to grading — no self-assessment needed.
Start an evaluation → - 5Grade blinded practicals by box
Simulation practical exams are graded blind by two faculty. Students write their candidate code (like PX-7KQ2M) on their typodont box instead of their name. On the Practicals tab, type the code from the box in front of you and press Grade this box, pick a code from the list, or press Grade a random submission. You only ever see the code. If you can't finish one, put it back.

Things you'll do often
On dual-graded evaluations each grader scores independently. If the two scores are further apart than the rubric's calibration limit (10 points by default), or disagree on a critical error, both of you regrade once; it's flagged for review if you're still apart.
If a rubric is set to send scores to Canvas, a ticked “Send this score to the Canvas gradebook” box appears when you grade. The evaluation then shows whether it reached Canvas, with Send/Retry.
Students & CAPs shows the CAP matrix and a full dashboard for each student; the Thread explorer shows any standard across courses, exams, simulation and clinic.
Students & CAPs →In Rubrics you can set levels, weighted criteria, critical-error behaviour, CAP requirements, blinded dual grading, calibration rules, the entrustment rating and Canvas gradebook sending. Once a rubric has been used, changing it needs the “Edit rubrics” permission (administrators by default) and saves a new version as of that day; earlier grades keep the version they were given with.
Rubrics →Good to know
- If you aren't calibrated on a rubric, Clew either blocks grading or marks your grade as uncalibrated, depending on the program's setting.
- Untick “Count this procedure” when the procedure wasn't completed as recorded — the grade still stands.
- Your grading works on an iPad or phone on the clinic floor.
Common questions
How do I add a second grader?
When starting a clinic self-assessment, choose a Second grader (optional). Both grade independently and your score is their average.
Where do I grade?
Your faculty portal lists everything waiting for your grade, with CAP attempts first. SIM Lab, Practicals, Clinical Experiences and CAPs each have their own tab under Grading; blinded practical exams are graded from Practicals.
Why can't I grade this rubric?
It requires test-tooth calibration and yours is missing or expired. Complete it in My calibration. Depending on the program's setting you're either blocked or your grade is marked uncalibrated.
What happens when two graders disagree?
If the scores are further apart than the rubric's calibration limit (10 points by default) or disagree on a critical error, both graders regrade once; if they're still apart the evaluation is flagged for review in Faculty calibration.
How do I send a score to the Canvas gradebook?
If the rubric sends scores to Canvas, leave “Send this score to the Canvas gradebook” ticked when grading. After grading, the evaluation's Canvas gradebook box shows whether it arrived, with Send or Retry. Rubric owners turn this on in the rubric builder; the course must be linked on the Canvas LMS page.
How do I build a rubric or CAP?
Open Rubrics and create a rubric. Set levels (marking critical-error levels), weighted criteria with tags, the pass threshold, and options: CAP with required experiences, blinded dual grading, calibration limit, entrustment rating and Canvas gradebook.
How do I find gaps in the curriculum?
Open the Curriculum map, choose a framework and tick “Show gaps only”. The Overview also lists unmapped standards per framework.
Can I open Clew from Canvas?
Yes, once an administrator registers Canvas on the Canvas LMS page. Clew then appears in Canvas's course, account and user navigation and signs you in with your school email.
Why was I signed out?
For privacy, Clew signs you out after 30 minutes without activity and 12 hours after you sign in. Sign in again with your school account.
Is patient information stored?
Clew is designed not to hold PHI: use the clinic's de-identified encounter number for patient references, never names or other identifiers.
Words you'll see in Clew
- Thread
- Everywhere a standard or competency shows up across the program — courses and hours, exam items, simulation, patient care, CAPs and clinical procedures.
- Tag
- A standard, competency, EPA or keyword that courses, exam items, rubric criteria and procedures are linked to, so their evidence threads together.
- Framework
- A set of tags: CODA standards, ADEA competencies, the program's own competencies or EPAs, or a keyword list.
- Rubric
- A grade sheet: performance levels, weighted criteria and a pass threshold. Used for simulation and clinic evaluations, practical exams and CAPs.
- Self-assessment
- The student's own ratings on the rubric, routed to faculty, who grade beside them.
- CAP
- Clinical Assessment of Proficiency — a high-stakes clinical assessment on a CAP rubric, challenged after the required number of qualifying patient experiences.
- Critical error
- A rubric level for unsafe or irreversible errors. By default any critical error fails the evaluation; a rubric can be set to record it without failing.
- Entrustment rating
- An optional 1–5 rating at the end of clinic rubrics (Ottawa / O-SCORE): 1 “I had to do it” to 5 “I didn't need to be there”. Reported separately from the score.
- Calibration (test teeth)
- Faculty grade typodont test teeth against a reference grade before grading students on rubrics that require it; it's renewed every six months by default.
- Dual / blinded grading
- Two faculty grade independently. On blinded simulation practicals, students label their typodont box with a candidate code; graders take a box by its code (or draw one at random) and see only the code.
- Calibration limit
- How far apart two graders' scores can be (10 points by default) before both regrade or the result is flagged.
- Clinical requirement
- A procedure students must complete a set number of (teeth, quadrants, arches…). Recorded with the self-assessment, counted when faculty grade it.
- Emphasis (I/R/M)
- How a course treats a tag: Introduced, Reinforced or Mastered.
- EPA
- Entrustable Professional Activity — an alternative to competency statements as a program's outcomes.
